Privacy Policy

Grey Hornbill is a tee time booking platform operated by Plus Bytes ("Plus Bytes," "Grey Hornbill," "we," "us"). This policy explains what information we collect when a golf course uses our platform and when a golfer books a tee time — by phone with our AI voice assistant, through a course's online booking widget, or with a course's staff — and how we use, share, and protect it.

Who this policy covers

We work with two kinds of people:

• Golf course operators, who sign up for Grey Hornbill to manage bookings, and whose staff use our admin dashboard.
• Golfers, who book a tee time at one of our partner courses by phone, through a web widget embedded on the course's website, or in person with course staff using our system.

This policy applies to both. Where our handling of information differs between the two, we say so below.

Information we collect

From golfers, when you book a tee time

• Name, phone number, and (when provided) email address
• Booking details: date, time, number of players, and any notes given to the course
• If you call our AI voice assistant, the audio of that call and a text transcript of what was said, so the assistant can find availability and complete your booking
• Basic technical information from the booking widget, such as your browser type and IP address, used to keep the widget secure and working correctly

From golf course operators

• Business name, address, contact details, and course/tee sheet configuration
• Staff account details (name, email, login credentials) for the admin dashboard
• Billing details processed through our payment providers (see "Payments," below)

Automatically, from our website

We use Google Analytics on greyhornbill.com to understand how visitors use our marketing site (pages viewed, general location, device type). This does not include anything you tell our booking widget or voice assistant.

How we use your information

• To create, confirm, change, or cancel a tee time booking
• To send a booking confirmation message by SMS, WhatsApp (where enabled by the course), or email
• To let course staff view and manage bookings for their own course
• To operate our AI voice assistant, including converting your speech to text and generating a spoken response
• To keep a course's own calendar in sync with bookings made through Grey Hornbill
• To provide customer support, investigate problems, and keep the platform secure
• To meet legal, tax, and regulatory obligations

We do not sell your personal information, and we do not use golfer booking data for advertising.

Our AI voice assistant

When you book by phone, your call is handled by an AI voice assistant. The call is recorded and transcribed so the assistant can understand your request and check live availability. Parts of this process run on third-party AI infrastructure (see below) — audio and transcript data is sent to these providers solely to process your booking and is not used by them to train models on our traffic.

SMS, WhatsApp, and email messages

If you provide a phone number when booking — by phone, web widget, or through course staff — and opt in to receive text messages, you consent to receive one transactional confirmation message related to that booking. This is a service message, not marketing.

• You can reply STOP at any time to stop receiving SMS messages, or HELP for assistance.
• Message frequency: one confirmation message per booking.
• Message and data rates may apply.
• No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. This does not include our service providers who deliver messages on our behalf (see "Who we share information with," below); sharing with those providers for the purpose of sending your booking messages is not considered a third-party marketing share.

Email confirmations are sent through our transactional email provider and relate only to your own booking activity.

Who we share information with

We share information with the following categories of service providers, solely to operate the platform on our and our course customers' behalf. They are contractually restricted from using your information for their own purposes.

We may also disclose information if required by law, to protect the rights and safety of Plus Bytes, our customers, or the public, or in connection with a merger, acquisition, or sale of assets, in which case we'll ensure continued protection of your information.

Payments

Golf course subscription billing is handled through our payment processor; golfer-facing payments, where a course enables online payment for bookings, are handled through a separate payment processor chosen for that purpose. In both cases, we do not receive or store full card details ourselves.

Data retention

We keep booking records for as long as a course remains a Grey Hornbill customer, and for a reasonable period afterward to meet legal, accounting, and dispute-resolution needs. Call recordings and transcripts are retained only as long as needed to support the booking and resolve any related questions, after which they are deleted or anonymized on a routine schedule.

Data security

We use industry-standard safeguards to protect your information, including encrypted connections, access controls limiting who can view booking and account data, and secure password storage for staff accounts. No system is completely immune to risk, but we work to keep information secure and to respond quickly if something goes wrong.

Your choices and rights

• You can ask a golf course, or contact us directly, to access, correct, or delete the personal information we hold about your bookings.
• You can opt out of SMS messages at any time by replying STOP.
• Depending on where you live, you may have additional rights under local privacy law, including the right to object to certain processing or to request a copy of your data. Contact us to exercise these rights.

Children's privacy

Grey Hornbill is intended for adults booking golf tee times and is not directed at children. We do not knowingly collect personal information from children.

International data transfers

Plus Bytes is based in India, and we work with service providers based in other countries, including the United States. Where information is transferred internationally, we take reasonable steps to ensure it continues to receive an appropriate level of protection.

Changes to this policy

We may update this policy from time to time as our platform evolves. We'll update the "Last updated" date above when we do, and for significant changes, we'll take reasonable steps to let our course customers know.
